ROAG (Race Organisers Admin Group) offers a substantial range of administrative & marketing services to Event Organisers who require assistance with various aspects of running a sports event. Below you will find a comprehensive list of ROAG’s services:
- Pre Entry (Online Entries) – Credit card payment & online entry system
- Pre Entry (Manual Entries) – EFT/bank deposits & faxed entry forms
- Late Entries – ROAG instantly and effectively captures late entry data on the day at registration.
Marketing
ROAG, on behalf of the Event Organiser, directly markets to its member database:
- ROAG Newsletter – The monthly ROAG Newsletter includes concise ROAG Administered Event information. Each Event is included in the Newsletter once under the Upcoming Events section, and once under the Report Back (once the event has passed) section.
- ROAG Announcement – The weekly ROAG Announcement is a bulk e- mail that provides ROAG Members with more comprehensive information regarding ROAG Administered Events. Each Event is included in the ROAG Announcement once.
- Bulk SMS – A bulk SMS can be sent to the full or filtered ROAG database according to province and/or sports discipline.
- ROAG’s Online Calendar – Each Event has a detailed event listing on the ROAG Calendar.
- ROAG Entries Page – Each Event has a profile including the following details: registration procedure, start times, maps to venue, organisers contact details, race route profile etc.
- ROAG Homepage Listing – The Events logo & some info feature on the home page, where a direct link to entry/info page is placed.
Registration
- Administer & Run Registration at Event - ROAG supplies ROAG Personnel & various equipment to ‘check-in’ pre-entries & capture late entries.
- Management of Race Office – ROAG manages a Race Office where ALL race entry queries are handled at the event’s registration.
ROAG Ranking & Seeding
Rider seeding index – ROAG provides ROAG Members with a seeding index and automated ranking structure. This index is immediately implemented to each event’s entry file, and the event organiser/ROAG can use this for batching purposes.
Race Results
Race Results are collected from the appropriate timing company and uploaded on to the website for all ROAG members to view
Timing
- ROAG offers Event Organisers the use of a holistic timing system.
- ROAG uses state-of-the-art electronic equipment to time events.
- The same team will be used for both registration & timing.
Number Boards
All ROAG Members receive their own personal number board (for both running and cycling) to keep and use at All ROAG administered events – this doubles up as their Unique Identifier.
Event Organiser Benefits
ROAG has established several relationships with companies that offer services specifically for the Event Industry. In doing so ROAG has secured discounts for our Event Organisers with these various companies (e.g. medal and mobile coffee companies).

ROAG has established several relationships with companies that service the active, ‘outdoorsy’ type of person and in doing so have secured discounts for our ROAG members with these various companies.
Integration With Timing Systems
- Unlimited Integration - ROAG is unlimited in terms of integration with various timing systems
- Various Interfaces - ROAG allows for a manual OR electronic interface
Merchandising
If Event Organisers have merchandise (e.g. clothing) they would like to sell to entrants ROAG can facilitate this at the same time that the entrant pays for his/her race entry.
Other Sales
If Event Organisers have meals/accommodation/gate entrance tickets they would like to sell to entrants ROAG can facilitate this at the same time the entrant pays for his/her race entry
